Granular Access Control (GAC) lets your production control exactly which Binder documents each team member can see. Instead of managing distribution lists, you describe documents and team members using Access Attributes, and ProductionPro automatically shows each person only the documents that match.
Granular Access Control is a premium add-on, enabled per production by the ProductionPro team; please contact us to add it to your production.
How It Works
GAC is built on Attribute Types and Attribute Values.
Attribute Type - a category describing documents and team members. Four types are available:
Department (e.g., Art, Costume, Camera)
Document Type (e.g., Script, Call Sheet, Schedule)
Document Status (e.g., Draft, Final)
Episode (e.g., 101, 102)
Attribute Value - an option within a type, defined by your production to match how your show is organized.
Once values are assigned to both documents and team members, access is automatic: a match means visibility.
💡 Tip: Each Attribute Type can be enabled or disabled, and only enabled types affect access.
How Access Is Decided
Two simple rules determine who can see a document:
Within an Attribute Type — OR logic. One match is enough. A document tagged Episodes 101 and 102 is visible to someone assigned just Episode 101.
Across Attribute Types — AND logic. Every enabled type must match. If Department and Episode are both used, a team member must match on both.
💡 Tip: A short way to remember it: OR within an Attribute Type, AND across Attribute Types.
Example: A document is tagged Department: Art, Costume and Episode: 102, 103.
A team member in Costume assigned Episode 103 ✅ can see it (matches on both types).
A team member in Costume assigned Episode 101 ❌ cannot see it (no Episode match).
A team member in Camera assigned Episode 103 ❌ cannot see it (no Department match).
If a document has no value for an enabled type, that type is skipped for access purposes — unless it's mandatory (see below).
Key Things to Know
Owners and Master Admins always see every Binder document, access is never restricted for them.
Uploading a document does not give you special access to it. You'll initially see your own uploads since you assign values you hold, but the same rules apply to everyone — later changes can remove your own access.
Attribute Types can be marked as mandatory. A mandatory type must be assigned a value on every document at upload. Documents missing a mandatory value are hidden from everyone except the Owner and Master Admins, and flagged as Missing mandatory attribute.
Updates are immediate. Changes to document or team member attributes take effect right away.
GAC only applies to Binder documents. Other areas of ProductionPro, like the Media Library, are unaffected.
Who Manages What
Owners and Master Admins define the access rules; everyone else works within them. Assigning attributes never broadens access — Admins and Contributors can only assign values they already hold.
Owner/Master Admins - set up Access Attributes (enable types, mark mandatory, create values); can assign any value to any document or team member.
Admins - handle day-to-day assignment to documents and team members.
Contributors - can assign values to documents they upload.
Viewers - cannot manage Access Attributes.
Granular Access Control on the iPad
Access Attributes are configured in the Web App, but access rules are enforced everywhere: on the web, on the iPad, and across integrations.
On the iPad, the Binder Document Library automatically shows only accessible documents. Uploading and managing attributes are done in the Web App; the iPad app will direct you there when needed.
